Administrative Coordination and Office Management: As an Admin Assistant at AKBAR Manpower Recruitment, you will play a vital role in supporting the daily operations of our offices in Sharjah and Dubai. You will be responsible for managing correspondence, handling internal communication, and ensuring that administrative procedures are carried out efficiently. Your role will involve coordinating between departments, organizing meetings, and assisting in maintaining a well-structured work environment where everything runs smoothly and professionally.
Recruitment and HR Support: Since AKBAR Manpower specializes in recruitment, your responsibilities will also include providing direct support to the HR and recruitment teams. You will assist in candidate data entry, scheduling interviews, and maintaining communication between job applicants and hiring managers. Your contribution will ensure that recruitment operations are executed on time and with accuracy, helping the team meet hiring goals efficiently.
Documentation and Record Maintenance: You will be in charge of maintaining proper records of documents, reports, and correspondence related to office and recruitment activities. This includes handling confidential files, preparing reports, and ensuring that all paperwork is properly organized and retrievable when needed. A keen eye for detail and accuracy will be essential in this role, as you will be responsible for managing important data and maintaining administrative integrity.
Communication and Customer Interaction: The Admin Assistant will serve as a point of contact for clients, candidates, and vendors, managing phone calls, emails, and in-person interactions professionally. You will help address inquiries, forward important information to relevant departments, and maintain a courteous and professional approach in every interaction. Effective communication will be at the heart of your work, helping maintain a positive image of the organization.
Scheduling and Operational Support: You will handle scheduling tasks, including managing calendars, arranging meetings, and booking appointments for managers and recruitment teams. Supporting operational activities such as preparing meeting minutes, organizing files, and tracking ongoing tasks will also form part of your daily duties. This will ensure that office operations are executed with precision, helping departments remain focused on their key goals.
Office Supplies and Logistics Management: Your responsibilities will include maintaining office supplies, ensuring that materials are available as needed, and coordinating with vendors for procurement. You will also assist in managing the logistics of office events, training sessions, and recruitment drives. Keeping the workplace organized, resourceful, and fully equipped will be an important part of your contribution to the team’s overall success.
