Job Description

Role Overview – City School is hiring an HR Admin for a full-time, on-site role based in Ajman, UAE. This position is ideal for organized, proactive HR professionals with strong operational HR knowledge, recruitment support capabilities, and the ability to manage HR administrative functions including employee documentation, visa processing, payroll coordination, and day-to-day HR operations within a K-12 school environment.

Recruitment and Hiring Support – You will support recruitment activities by posting teaching and non-teaching job advertisements, screening CVs for educators and support staff, coordinating interview schedules with school leadership, communicating with candidates, maintaining recruitment trackers, and assisting hiring managers throughout the selection and offer process for teachers, teaching assistants, administrative staff, and support personnel.

Employee Onboarding and Offboarding – You will manage employee onboarding and offboarding by preparing employment contracts and documentation, conducting induction programs for new teachers and staff, collecting required paperwork, processing resignations, conducting exit interviews, calculating end-of-service benefits, and ensuring smooth transitions for all new joiners and departing employees.

HR Documentation and Record Management – You will maintain comprehensive HR records by updating employee files, managing personnel databases, organizing contracts and agreements, tracking document expiry dates (passports, visas, labor cards, Emirates IDs, teaching licenses, certificates), and ensuring all documentation is properly filed, accessible, and compliant with UAE labor law and education sector regulations.

Visa and Immigration Processing – You will coordinate visa and immigration processes by liaising with PROs and government authorities (MOHRE, ICA, SPEA - Sharjah Private Education Authority/Ajman Education Department), preparing visa applications, tracking visa statuses, managing renewals and cancellations, coordinating medical tests and Emirates ID processing, and ensuring all immigration activities are completed accurately and on time.

Teaching License and MOE Attestation Coordination – You will coordinate teaching licenses and MOE attestation by managing teacher license applications with SPEA or Ajman Education Department, coordinating degree attestation through UAE Ministry of Education, tracking license renewals, ensuring all teaching staff have valid licenses, and maintaining compliance with education authority requirements.

Payroll and Attendance Administration – You will support payroll administration by collecting and verifying attendance data, processing leave requests, managing timesheets for teachers and staff, coordinating with the payroll team or finance department, and ensuring accurate and timely payroll processing each month.

Employee Relations and Communication – You will support employee relations by responding to HR inquiries from teachers and staff, addressing employee concerns, facilitating internal communications, maintaining open channels of communication, and serving as a point of contact for employee matters, escalating issues to HR management or school leadership when necessary.

HR Policies and Compliance – You will ensure HR compliance by maintaining up-to-date knowledge of UAE labor law and education sector regulations, implementing school HR policies and procedures, ensuring employment contracts adhere to legal requirements, coordinating health insurance enrollment, and supporting labor inspections and education authority audits.

Performance Management Support – You will support performance management processes by coordinating teacher and staff appraisal cycles, maintaining performance records, assisting school leadership with feedback documentation, tracking professional development goals, and ensuring performance evaluation systems are implemented effectively.
