Job Description

Role Overview – OUTSET is hiring an HR Admin for a full-time, on-site role based in Dubai, UAE. This position is ideal for organized, detail-oriented HR professionals with strong operational HR knowledge, administrative capabilities, and the ability to manage HR documentation, support recruitment, coordinate employee services, ensure compliance, and provide day-to-day HR administrative support.

HR Documentation and Record Management – You will maintain comprehensive HR documentation and records by updating employee files, managing personnel databases, organizing contracts and agreements, tracking document expiry dates (passports, visas, labor cards, Emirates IDs), maintaining filing systems (physical and digital), and ensuring all HR records are accurate, organized, accessible, and compliant with UAE labor law.

Recruitment and Hiring Support – You will support recruitment activities by posting job advertisements, screening CVs and applications, coordinating interview schedules, communicating with candidates via email and phone, maintaining recruitment trackers, coordinating with hiring managers, scheduling interviews, and assisting the HR team throughout the selection and offer process.

Employee Onboarding and Integration – You will manage employee onboarding by preparing employment contracts and offer letters, coordinating orientation programs, collecting required documentation (certificates, ID copies, photographs), preparing employee files, processing new hire paperwork, coordinating induction activities, and ensuring smooth, welcoming onboarding experiences for all new joiners.

Employee Offboarding and Exit Processing – You will manage employee offboarding by processing resignations and terminations, conducting exit interviews and collecting feedback, calculating end-of-service benefits, coordinating final settlement processes, collecting company property, updating employee records, and ensuring professional, compliant offboarding procedures.

Visa and Immigration Coordination – You will coordinate visa and immigration processes by liaising with PROs and government authorities (MOHRE, ICA), preparing visa applications and documentation, tracking visa statuses and renewals, coordinating medical tests and Emirates ID processing, managing labor card applications and renewals, and ensuring all immigration activities are completed accurately and on time.

Payroll and Attendance Administration Support – You will support payroll and attendance administration by collecting and verifying attendance data, processing leave requests and approvals, managing timesheets, tracking overtime and absences, coordinating with payroll teams or finance departments, and ensuring accurate payroll processing inputs.

Leave and Attendance Management – You will manage leave and attendance by maintaining leave records, processing annual leave, sick leave, and other leave requests, tracking leave balances, updating attendance systems, monitoring absenteeism, generating attendance reports, and ensuring compliance with leave policies and UAE labor law.

Employee Relations and Communication Support – You will support employee relations by responding to routine HR inquiries from employees, addressing basic employee concerns, facilitating internal HR communications, distributing HR announcements and policies, serving as a point of contact for employee questions, and escalating complex matters to senior HR staff or management.

HR Policies and Compliance – You will support HR compliance by maintaining knowledge of UAE labor law requirements, implementing company HR policies and procedures, ensuring employment documentation adheres to legal standards, coordinating health insurance enrollment, supporting labor inspections, and assisting with HR compliance activities.
