Job Description

Front Desk and Visitor Assistance: The receptionist will serve as the first point of contact for visitors, staff, and external partners by maintaining a friendly and professional office environment. This includes greeting guests, guiding them to designated meeting rooms, coordinating front desk activities, and ensuring that daily operations run smoothly without interruptions.

Administrative Workflow Coordination: The role involves managing essential administrative processes such as drafting correspondence, preparing official documents, organizing records, and ensuring all administrative tasks are completed in a timely and accurate manner. The candidate will support various departments through consistent follow-ups and clear communication.

Efficient Document Control Support: The receptionist will assist in maintaining incoming and outgoing project documentation, ensuring that each document is properly recorded, distributed, updated, and safely stored. This includes supporting the document control function by keeping registers updated, ensuring accuracy of file versions, and helping maintain a secure and organized filing system.

Communication and Scheduling Management: The candidate will handle incoming calls, emails, and appointment requests while ensuring that messages are communicated to the right departments promptly. They will schedule meetings, prepare meeting materials, and maintain a well-organized calendar for the office and project teams.

Office Equipment and Data Maintenance: The role requires operating standard office equipment, updating spreadsheets, maintaining office databases, and ensuring all digital and physical records remain accessible, well-organized, and regularly updated to support smooth day-to-day office functions.

HR and Recruitment Assistance: The receptionist will support HR functions by posting job openings, screening applications, coordinating interview schedules, and communicating with applicants. This includes assisting the HR and Admin Department with administrative tasks, maintaining recruitment logs, and ensuring confidentiality of all applicant information.
