Job Description
Role Overview – Hybrid Global is seeking a proactive and organized HR Executive for our Dubai office. This full-time opportunity is for UAE candidates only and is ideal for HR professionals with 1-2 years of experience in administration and HR recruitment who can manage the complete recruitment lifecycle and support HR operations.
Recruitment and Job Posting – You will post job openings on job portals including Bayt, Indeed, GulfTalent, Naukrigulf, and LinkedIn, create compelling job advertisements, optimize job postings for visibility, manage job portal accounts, track posting performance, ensure job descriptions are accurate and attractive, and maintain active presence across recruitment platforms to attract quality candidates.
Complete Recruitment Lifecycle Management – You will manage the complete recruitment lifecycle including sourcing candidates through various channels, screening resumes and applications, shortlisting qualified candidates, conducting initial phone screenings, coordinating subsequent interview stages, communicating with candidates throughout the process, and managing recruitment from job posting through offer acceptance.
Interview Coordination – You will coordinate interviews with candidates and hiring managers by scheduling interview appointments, confirming candidate and interviewer availability, sending interview invitations and details, preparing interview schedules, coordinating logistics for interviews, managing interview rooms or virtual meeting links, following up on interview outcomes, and ensuring smooth interview processes.
Candidate and Employee Records Management – You will maintain accurate candidate and employee records including applicant tracking databases, employee personnel files, recruitment documentation, interview feedback, offer letters, employment contracts, and HR correspondence. You will ensure organized record-keeping, data accuracy, confidentiality of records, and easy retrieval of information when needed.
Onboarding Process Support – You will support onboarding processes for new employees including preparing onboarding documentation, coordinating orientation schedules, facilitating completion of joining formalities, coordinating with IT and admin for workspace setup, ensuring new hires complete required paperwork, conducting HR inductions, and creating positive onboarding experiences that support new employee integration.
HR Documentation Management – You will handle HR documentation including employment contracts, offer letters, confirmation letters, resignation acceptance letters, experience certificates, NOC letters, and various HR correspondence. You will prepare HR documents accurately, obtain necessary approvals and signatures, maintain proper filing, and ensure all HR documentation is processed efficiently.
General Office Administration – You will handle general office administration tasks including managing office supplies, coordinating with vendors, organizing office events and meetings, maintaining office facilities, handling correspondence, supporting administrative coordination, managing calendars when needed, and ensuring smooth day-to-day office operations.
Day-to-Day Operational Tasks – You will manage day-to-day HR and administrative operational tasks including responding to employee inquiries, processing leave requests, coordinating with PRO on visa matters, maintaining attendance records, supporting payroll inputs, handling routine HR queries, coordinating with various departments, and ensuring efficient handling of operational requirements.
Communication and Coordination – You will exercise strong communication and coordination skills by interacting professionally with candidates, employees, hiring managers, and external parties, coordinating activities across departments, following up on pending matters, providing timely updates, maintaining professional correspondence, and ensuring effective communication that supports HR and administrative objectives.
Database and System Management – You will maintain HR databases and systems, update employee information, track recruitment pipelines, generate HR reports, manage applicant tracking systems, ensure data accuracy in HR systems, and utilize technology to support efficient HR operations and reporting.
