Job Description

Role Overview — Al Medical Center is looking for an organized and dependable HR Assistant to support the daily activities of the Human Resources department. The role will involve maintaining employee records, assisting with recruitment and onboarding, coordinating attendance and leave information, preparing HR documentation, and responding to routine employee queries. The ideal candidate should be detail-oriented, approachable, discreet with confidential information, and comfortable managing multiple administrative tasks in a professional medical-center environment.

Daily HR Administration —  Support routine HR activities, maintain organized documentation, and ensure employee-related administrative tasks are completed accurately and on time.

Employee Records Management — Maintain updated employee files, contracts, personal information, leave records, and other HR documents while ensuring information remains confidential.

Recruitment Support — Assist with vacancy coordination, CV screening, candidate communication, interview scheduling, and other recruitment activities as required.

Employee Onboarding — Support joining formalities by preparing required documents, coordinating onboarding activities, and helping new employees complete necessary HR procedures.

Attendance & Leave Tracking — Maintain accurate attendance and leave records and coordinate with relevant departments to resolve discrepancies or missing information.

HR Documentation — Prepare employment letters, forms, internal communications, reports, and other HR documents according to established procedures.

Employee Communication — Respond professionally to routine employee questions and guide staff regarding HR procedures, documentation, leave, attendance, and other administrative matters.

Payroll Support — Assist with collecting and verifying attendance, leave, and employee information required for accurate payroll processing.

Policy Coordination — Help communicate HR policies and workplace procedures to employees and support consistent implementation across the organization.

Personnel Data Updates — Ensure employee information is updated accurately in HR systems and maintain proper records whenever changes occur.

Training Coordination — Assist with arranging staff training, maintaining training records, and coordinating schedules and documentation when required.

Employee Relations Support — Assist the HR team with employee concerns and workplace matters while maintaining professionalism and confidentiality.

HR Reporting — Support the preparation of basic HR reports covering attendance, leave, staffing, recruitment, employee movements, and other workforce information.

Confidentiality — Handle sensitive employee and organizational information responsibly and maintain a high level of discretion in all HR activities.

Department Coordination — Work closely with management, administration, finance, and other departments to collect information and ensure HR processes run smoothly.

Compliance Support — Maintain accurate HR documentation and assist the HR team with internal procedures and applicable employment-related requirements.

HR Filing & Organization — Keep physical and digital HR files properly organized so employee records and important documents can be retrieved efficiently when needed.

Administrative Assistance — Provide general support to the HR department, including scheduling, correspondence, document preparation, data entry, and other routine administrative duties.

Process Improvement — Help identify practical ways to improve HR administration, employee communication, record keeping, and overall departmental efficiency.
