Job Description

Role Overview – Giant Group - Shankar Trading Co. (LLC) is seeking a talented HR Assistant to join our Dubai team. This position requires 2-3 years of UAE HR experience, Indian nationality, and knowledge of UAE Labour Laws, MOHRE, and WPS. The salary range is AED 3,000 - 4,000. This role is ideal for HR professionals who can manage recruitment, payroll support, compliance, and HR records management.

Recruitment and Talent Acquisition – You will manage recruitment activities including posting job advertisements, sourcing candidates through various channels, screening resumes and applications, conducting initial interviews, coordinating with hiring managers, facilitating interview processes, preparing offer letters, processing employment contracts, and ensuring successful hiring of qualified candidates.

Employee Onboarding – You will coordinate comprehensive onboarding processes for new employees including preparing joining documentation, facilitating orientation programs, conducting HR inductions, coordinating uniform and ID card issuance when applicable, arranging system access, ensuring completion of joining formalities, creating positive onboarding experiences, and supporting smooth employee integration.

Payroll Support – You will support payroll processing by providing accurate payroll inputs including new joiners, resignations, salary changes, overtime, allowances, deductions, leave records, and attendance data. You will coordinate with payroll providers or finance teams, verify payroll accuracy, address payroll queries, and ensure timely and accurate salary processing.

WPS (Wage Protection System) Support – You will support WPS operations by preparing WPS files for salary transfers, coordinating with banks on WPS submissions, ensuring WPS compliance with MOHRE requirements, maintaining WPS records, tracking WPS payment status, resolving WPS issues, and ensuring employees receive salaries through compliant WPS channels.

HR Compliance – You will ensure HR practices comply with UAE Labour Law, Ministry of Human Resources and Emiratisation (MOHRE) regulations, and company policies. You will coordinate visa and labour card processing with PRO services, handle ministry documentation, maintain proper employment contracts, support labour inspections, and ensure full regulatory compliance.

MOHRE Coordination – You will coordinate with MOHRE on various matters including labour contract registrations, work permit applications, quota management, labour card processing, ministry submissions, handling labour violations if any, and ensuring compliance with MOHRE regulations and procedures.

Employee Records Management – You will maintain comprehensive HR records and employee files including personnel documentation, employment contracts, visa and labour card copies, personal documents, HR correspondence, leave records, attendance records, performance documentation, and ensuring organized, accurate, and confidential record keeping.

Leave and Attendance Management – You will manage employee leave and attendance including processing leave applications, tracking leave balances, maintaining attendance records, coordinating with departments on attendance matters, generating attendance reports, handling attendance discrepancies, ensuring proper leave documentation, and managing time-off administration.

Employment Documentation – You will prepare and process HR documentation including offer letters, employment contracts, probation letters, confirmation letters, promotion letters, salary revision letters, warning letters, resignation acceptances, experience certificates, and various HR correspondence ensuring accurate documentation and proper approvals.

Employee Relations Support – You will support employee relations by serving as point of contact for employee HR inquiries, addressing employee concerns, processing employee requests, issuing employment letters and certificates, coordinating with PRO on visa matters, providing guidance on HR policies, and supporting positive employee relations.

HR Database and HRIS Management – You will maintain HR Information Systems or databases by updating employee data, managing personnel records, generating HR reports, tracking HR metrics, maintaining organizational charts, ensuring data accuracy and integrity, and utilizing HRIS for efficient HR operations.

Performance Management Support – You will support performance management processes including coordinating performance appraisal cycles, distributing evaluation forms, tracking appraisal completion, maintaining performance documentation, coordinating with managers on performance matters, and ensuring effective performance management administration.

Training Coordination – You will coordinate training activities including scheduling training sessions, maintaining training records, tracking training attendance, coordinating with external training providers when applicable, supporting training administration, and ensuring proper training documentation.

HR Reporting – You will prepare HR reports including headcount reports, turnover analysis, attendance summaries, leave reports, new hire and exit reports, recruitment metrics, and other HR operational reports. You will provide management with accurate HR information that supports decision-making.
