Job Description

Role Overview – Al Tawasul Group is hiring an HR & Admin Executive for a full-time, on-site role based in Dubai, UAE. This position is ideal for experienced HR and administrative professionals with strong operational capabilities, UAE labor law knowledge, and the ability to manage HR functions, coordinate administrative operations, support employee services, and ensure efficient HR and administrative support within a business group environment.

HR Operations and Management – You will manage HR operations by overseeing day-to-day HR functions, implementing HR policies and procedures, managing employee lifecycle activities, coordinating HR processes across the group, ensuring HR compliance, supporting business units with HR services, and maintaining efficient, professional HR operations.

Recruitment and Talent Acquisition – You will manage recruitment and talent acquisition by posting job advertisements across group companies, screening CVs and applications, coordinating interview schedules with hiring managers, conducting initial screening interviews, managing recruitment trackers, coordinating with recruitment agencies when needed, and supporting hiring activities across diverse business functions.

Employee Onboarding and Orientation – You will manage employee onboarding by preparing employment contracts and offer letters, coordinating new hire orientation programs, collecting required documentation (certificates, ID copies, photographs, references), preparing employee files, processing new hire paperwork, facilitating induction activities, and ensuring smooth, welcoming onboarding experiences.

Employee Offboarding and Exit Management – You will manage employee offboarding by processing resignations and terminations, conducting exit interviews and collecting feedback, calculating end-of-service benefits according to UAE labor law, coordinating final settlement processes, collecting company property, updating employee records, and ensuring professional, compliant offboarding procedures.

Visa and Immigration Coordination – You will coordinate visa and immigration processes by liaising with PROs and government relations officers, preparing visa applications and documentation, tracking visa statuses and renewals, coordinating medical tests and Emirates ID processing, managing labor card applications, renewals, and cancellations, coordinating with MOHRE and ICA, and ensuring all immigration activities are completed accurately and on time.

HR Documentation and Record Management – You will maintain comprehensive HR documentation by updating employee files, managing personnel databases, organizing contracts and agreements, tracking document expiry dates (passports, visas, labor cards, Emirates IDs, certificates), maintaining physical and digital filing systems, and ensuring all HR records are accurate, organized, accessible, and compliant.

Payroll Administration Support – You will support payroll administration by collecting and verifying attendance data, processing leave requests and approvals, managing timesheets and overtime records, coordinating with payroll teams or finance departments, tracking salary adjustments and deductions, ensuring accurate payroll inputs, and supporting timely payroll processing.

Leave and Attendance Management – You will manage leave and attendance by maintaining leave records and balances, processing annual leave, sick leave, and other leave requests, updating attendance systems, monitoring absenteeism patterns, generating attendance reports, ensuring compliance with leave policies and UAE labor law, and coordinating shift schedules when applicable.

Employee Relations and Communication – You will manage employee relations by responding to employee inquiries and concerns, addressing workplace issues and conflicts, facilitating internal communications, distributing HR announcements and policies, serving as point of contact for employee matters, coordinating employee engagement activities, and maintaining positive employee relations.

Performance Management Support – You will support performance management by coordinating performance appraisal cycles, maintaining performance records, assisting managers with evaluation processes, tracking goal completion and review schedules, preparing performance documentation, and ensuring performance systems are implemented effectively across the group.

Training and Development Coordination – You will coordinate training and development by identifying training needs, organizing training programs and workshops, scheduling training sessions, coordinating with trainers and facilitators, booking training venues, tracking employee participation, maintaining training records and certifications, and supporting continuous learning and development initiatives.

HR Policies and Compliance – You will ensure HR compliance by maintaining knowledge of UAE labor law, implementing company HR policies and procedures, ensuring employment documentation adheres to legal requirements, coordinating health insurance enrollment and renewals, supporting labor inspections, managing WPS (Wage Protection System) compliance, and ensuring HR practices meet regulatory standards.

Administrative Operations and Office Management – You will manage administrative operations by overseeing office administration, managing office supplies and inventory, coordinating office maintenance and facilities, managing vendor relationships (cleaning, maintenance, supplies), coordinating building management liaison, ensuring office cleanliness and organization, and maintaining smooth administrative operations.
