Job Overview: Al Jaber Gallery is currently looking for a well-organized and dynamic HR Admin Assistant to support its Human Resources and administrative operations. This position is based in Dubai and requires an individual with strong multitasking skills and a proactive attitude toward internal coordination and people management.
Administrative Responsibilities: As an HR Admin Assistant, you will be responsible for providing day-to-day support to the HR team. Your duties will include preparing employee files, updating databases, managing timesheets, and handling internal communications. Maintaining an organized and efficient office structure will be key to your success in this role.
HR Process Assistance: You will assist in a wide range of HR functions such as new employee onboarding, leave tracking, payroll coordination, and updating HR records. This position is ideal for someone looking to grow within the HR field and gain valuable hands-on experience with daily operations.
Internal Coordination: Your role will require frequent communication with other departments to assist in gathering HR data, distributing announcements, and maintaining updated internal policies. You will also provide support during audits and inspections by preparing necessary documentation in a timely manner.
Employee Relations & Support: You'll serve as the first point of contact for employees with general HR-related inquiries. This includes issuing letters, guiding staff on leave applications, and ensuring that the working environment is supportive and in compliance with the organization’s standards.
Data Management & Filing: You will be in charge of maintaining accurate and updated HR documentation both digitally and in hard copy. This includes archiving contracts, IDs, performance review records, and other official documents as per the company’s retention policy.
