Job Description

Role Overview – Main Plan Building Contracting LLC is hiring an HR Admin Assistant for a full-time, on-site position based in Dubai. This position is ideal for organized administrative professionals with strong HR support skills, attention to detail, and the ability to provide comprehensive HR administrative support, manage HR documentation, assist with HR functions, maintain organized systems, and contribute to smooth HR operations within a dynamic construction business environment.

HR Documentation and Filing – You will manage HR documentation by organizing employee files, maintaining filing systems, and ensuring easy retrieval of HR records. You will file documents appropriately, maintain confidentiality, ensure document storage meets legal requirements, and support information management systems. You will organize personnel files systematically.

Employee Records Management – You will maintain accurate employee records by updating personnel files, tracking employee information, and ensuring records are current and organized. You will process employee data, verify information accuracy, and support HR record-keeping responsibilities. You will maintain complete personnel documentation.

Recruitment Coordination Support – You will provide administrative support to recruitment activities by organizing job applications, scheduling interviews, preparing interview materials, and maintaining recruitment records. You will coordinate with candidates, manage recruitment documentation, and support the hiring process. You will organize candidate information and track applications.

Calendar and Meeting Coordination – You will manage HR team calendars by scheduling meetings, coordinating meeting times, and arranging meeting facilities. You will confirm appointments, send reminders, and support smooth meeting coordination and execution. You will organize HR team schedules.

Correspondence and Communication Management – You will manage HR correspondence by organizing emails, filing communications appropriately, and supporting communication workflows. You will prioritize incoming messages and ensure appropriate routing to HR staff members. You will maintain professional communication records.
